Moving your office can be very challenging, no matter how large or small your company. There are so many details and so many things that could go wrong. To lessen the bumps in the road you may encounter, here are some tips that will help with the planning and execution of your company move.
- Declutter your offices
Ask your staff to carefully look around and see what can be discarded. Have them clean out their files and shred any documents that are no longer needed. Get rid of any large bulky pieces of furniture that have seen better days. Toss out or donate any items you don’t need rather than paying to move or store them. If needed there are companies that will assist in liquidating your excess equipment.
- Create an inventory
Once you’ve tossed out the things you no longer need, make a complete inventory. By providing a comprehensive list to you moving company, you’ll get the most accurate price quote. If possible, take photos of each item, and be sure to inventory every room, closet, nook, and cranny! This will also help you to be fully restored should any items be damaged or go missing in the move.
- Make a plan
Have a plan in place for the packing and unpacking. Create a system, using color coded labels and desk numbers for each floor, department, team, or individual employee. This will allow the movers to know exactly where everything should go. You may be assigned a coordinator from your moving company to help organize this aspect of the move.
- Review your plans with the building managers of both your old and new offices.
There may be special restrictions in your current location as to when you can move out. Some buildings may allow moves only during non-business hours or weekends. There may also be special rules regarding truck access to the buildings, and you’d want to know if any other tenants were moving in or out at the same time as your plan.
- Take care of your employees and your customers.
For your employees, plan a buffer day to allow them to unpack their boxes and set up their new cubicles. Bring in bagels and coffee. If possible, have all of the IT installations completed before the other employees arrive at their new workstations. Make sure you notify your customers of your move and update your stationary, business cards, and envelopes, as well as your website.
